These Terms and Conditions ("Terms") govern your use of the INF Translate website (inftranslate.uk) and the interpreting and translation services provided by INF Translate ("we", "us", "our"). By using our website or engaging our services, you agree to be bound by these Terms. Please read them carefully.
1. Definitions
- "Client" means any individual, organisation or entity that engages INF Translate to provide services.
- "Services" means the interpreting, translation and related language services provided by INF Translate.
- "Linguist" means any interpreter, translator or language professional engaged by INF Translate to deliver services.
- "Booking" means a confirmed request for interpreting services, whether face-to-face, telephone or video remote.
- "Order" means a confirmed request for translation or transcription services.
- "Working Day" means Monday to Friday, excluding public holidays in England and Wales.
2. Description of Services
INF Translate provides professional language services including but not limited to:
- Face-to-face interpreting
- Telephone interpreting
- Video remote interpreting
- Document translation
- Transcription services
- Machine translation with post-editing
All services are delivered by qualified linguists selected based on language pair, subject matter expertise and any specific requirements communicated by the Client.
3. Booking and Ordering Process
Interpreting Bookings
Interpreting bookings may be placed via our website, email or telephone. A booking is confirmed once we issue written confirmation (including by email). We will make reasonable efforts to fulfil all bookings but cannot guarantee availability for every language or location at short notice.
Translation Orders
Translation orders are confirmed upon our acceptance of the source material and agreement on the scope, deadline and price. A formal quote or order confirmation will be provided before work commences.
4. Payment Terms
- All prices are quoted in British Pounds Sterling (GBP) and are exclusive of VAT unless otherwise stated.
- Invoices are issued upon completion of services unless alternative arrangements have been agreed in writing.
- Payment is due within 30 days of the invoice date unless otherwise agreed.
- We reserve the right to charge interest on overdue invoices at the rate of 4% above the Bank of England base rate, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
- For new clients or ad-hoc bookings, we may require payment in advance or upon delivery.
5. Cancellation Policy
Interpreting Bookings
- Cancellations made more than 48 hours before the appointment: no charge.
- Cancellations made between 24 and 48 hours before the appointment: 50% of the booking fee.
- Cancellations made less than 24 hours before the appointment or failure to attend: 100% of the booking fee.
Translation Orders
If a translation order is cancelled after work has commenced, the Client will be charged for all work completed up to the point of cancellation plus any non-recoverable third-party costs incurred.
6. Limitation of Liability
- INF Translate shall not be liable for any indirect, consequential, special or incidental loss or damage arising from the provision of our services.
- Our total liability for any claim arising out of or in connection with our services shall not exceed the total fees paid by the Client for the specific service giving rise to the claim.
- We shall not be held liable for delays or failures in performance caused by circumstances beyond our reasonable control, including but not limited to illness of a linguist, severe weather, transport disruption, acts of God or government actions (force majeure).
- Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
7. Intellectual Property
Upon full payment, copyright in translated materials shall transfer to the Client. Until payment is received in full, INF Translate retains all intellectual property rights in the translated work.
The Client warrants that all source materials provided for translation do not infringe the intellectual property rights of any third party and shall indemnify INF Translate against any claims arising from such infringement.
8. Confidentiality
INF Translate treats all client information and materials as confidential. All linguists engaged by us are bound by confidentiality agreements. We will not disclose any client information to third parties except as required to deliver the services or as required by law.
We implement appropriate technical and organisational measures to protect the confidentiality and security of all materials and data entrusted to us.
9. Quality and Complaints Procedure
We are committed to delivering high-quality language services. If you are dissatisfied with any aspect of our service, please follow our complaints procedure:
- Contact us in writing at info@inftranslate.uk within 7 Working Days of service delivery, providing full details of your complaint.
- We will acknowledge your complaint within 2 Working Days and investigate promptly.
- We will provide a written response within 10 Working Days of receiving your complaint.
- If you are not satisfied with the outcome, you may request escalation to senior management for further review.
For translation services, the Client must notify us of any errors or omissions within 7 Working Days of delivery. We will correct any genuine errors at no additional charge.
10. Governing Law and Jurisdiction
These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these Terms or our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
11. Amendments
We reserve the right to amend these Terms at any time. Any changes will be posted on this page with an updated revision date. Continued use of our website or services after changes are posted constitutes acceptance of the revised Terms.
